Recruit 5.0 Upgrade Schedule






DESCRIPTION OF PLANNED WORK:

This notice is to inform you about our plans for the 2018 Q1 (Recruit 5.0) upgrade to your cloud environment.   There is important information below so please read thoroughly.


TEST UPGRADE SCHEDULE:
The TEST upgrade window will be the week of MARCH 26-30.   We will have several daytime and evening upgrade groups running that week, the specific scheduled date/time for your institution will be communicated to you shortly in a separate email.

PREPARE for PROD to TEST CLONE, MARCH 23rd
Our process for this upgrade will be to CLONE your PROD environment to a new TEST environment which supports the Dynamics 365 platform, key to many of the new features in 5.0.  This will happen on March 23rd.  Next, (according to your specific upgrade schedule to be communicated separately) we will upgrade your new TEST environment during the week of March 26th to 5.0 and notify you when it is ready.

As such, it is CRITICAL that you promote to PROD/capture/document any changes you have made in TEST BEFORE 9 PM EST ON MARCH 22nd.

  *   All changes wished to be saved to PROD must be done so before that deadline.
  *   After the deadline, changes made to TEST before the upgrade to 5.0 on your scheduled date will not be preserved.
  *   NOTE: There may be a gap of up to 5 days between the clone and upgrade depending on your specific schedule.  During that gap you can access and use TEST but should not do so for any development work as you will not be able to promote it after the deadline.
  *   Once the TEST upgrade is completed and you are notified, you can begin using the TEST environments as normal (understanding that you cannot promote anything to PROD until after the PROD upgrade is completed in April when your environments back on matching versions).


PROD UPGRADE SCHEDULE:
The PROD upgrade window will be the week of APRIL 15-19.   We will have several upgrade groups running that week, and the specific scheduled date/time for your institution will be communicated to you shortly in a separate email. All groups will be in overnight time slots to minimize disruption to your operations.

A NOTE ABOUT TESTING:
We are providing the standard 3-week testing period between the TEST and PROD upgrades, per our SaaS policy.

  *   The goal of the TESTING period is to verify that current state operations are functional after the upgrade.
  *   New functionality is delivered turned off, no need to test right away if you are facing time constraints.
  *   As such, please focus on testing your existing functionality,  things you are already using.  This limits the amount of testing you need to do during the 3-weeks to just those things to verify business continuity in current state.
  *   New Features can be configured and tested after the PROD Upgrade in April. No need to do that now.
  *   Action Line is available to assist with any testing issues you encounter during that period.
